Band Booster Meeting – Tuesday, April 20, 2010
Board Members present were:
Kathy Kruger (President), Pam Gafford (Vice President – Fundraising), Marti Been (Co Vice President – Cougar Café), Amal Colon (Co Vice President – Cougar Grill), Rhonda Miller (Corresponding Secretary), Diana Vincent (Recording Secretary), Tracy Dilport (Treasurer),
Dan DuBay and 27 parents were also in attendance.
The meeting came to order at 6:33pm
Dan DuBay: Thank you to Missy Flynn for a great job with the Golf Tournament. The Disney itinerary was given to the kids but it has changed and the new itinerary is on the message board. The first performance will be at Pleasure Island and if you are going to watch the performances at Hollywood Studios you will need to buy a ticket to the park to see them perform. Bloomingdale will also be at Disney the same time and they have to pay $220 to go where we only had to pay $170. We saved money using a different busing company. Arrival back to Durant will be around 10:30pm on Saturday. Your child will need a minimum of $50 for meals and spending money but don’t give them too much money or they will spend it on unnecessary items. If you child needs medication, please place it in a bag and label it with your child’s name. It will be given to the chaperone assigned to your child.
Wind Ensemble will be going to the State Band Competition on April l29th at Vero Beach High School. The itinerary is on the website.
Colorguard received the State Champion Gold Medal. Congratulations for a job well done.
Your child received their proof from the pictures back a while ago. Picture money is due tomorrow (4/21) but the deadline will be extended to Thursday.
Kathy Kruger: Tonight we will be voting for the new Board members and also selling banquet tickets. The tickets cost $38 each. The cost covers the banquet only…band will not make any profit on this event. You may use the money from your student account to pay for the banquet but if your account is not paid up, you will not be allowed to attend. If you want to sit with someone, you must turn your money in together. There are 10 seats per table. Be sure to pick Screen or Stage view. Tables are set at first come first serve basis so the sooner you get your money in, the better table location you will have. Deadline to buy tickets is May 18th.
Everyone will receive some sort of award at the banquet. It’s a great event that should not be missed. Centerpieces will be sold after the event if you are interested in purchasing one. Mr. Fahie is still working on the pictures and videos. If you still have pictures or video, please give to him ASAP. The final deadline to turn anything in is May 10th. We have nothing for the video presentation so if you have video, please turn it in.
Pam Gafford: Thanks again to Michelle Flynn for a great job at the golf tournament. It ran very smoothly. We had 47 golfers (more than double last year) and 20 hole sponsors. We received $5000 and after expenses of $2,160.17, $2,437 went into the students’ individual accounts.
We will be starting our next fundraiser with Gold Canyon Candle today through May 4th. Candles will be delivered 10 days after all money is received. Unfortunately the candles will not be here for Mother’s Day but we didn’t want to start the fundraiser until after the golf tournament was completed. We have never used this company before but they are beautiful candles.
The yard sale will be sometime towards the end of June. We are waiting on dates to be approved. It will be held at Sunshine Federal on Rt. 39 and Alexander in Plant City. This will be a student account fundraiser.
We will be doing a lot of fundraising with the big trip coming next year. Although we don’t know exactly how much, we anticipate the trip to cost about $1800 per person. There will be many opportunities to raise the money with fundraising and working at the Ray Jay.
Tracy Dilport: We made $20,038 profit working concessions this year. There is $30,432.02 in the band account but we still owe $33,944.33 to student accounts which gives us a shortfall of $3512.41. There is $4,388.48 still unpaid by students. If all students would pay their outstanding accounts, we actually have a small profit in the account to start off the year. You will not be able to buy banquet tickets or walk in graduation unless your account is paid in full.
Amal Colon: I have the last game at the Grill today. Thank you to everyone that volunteered this past year.
Kathy Kruger: I will hand out the ballots for the board position. There are two people running for Recording Secretary. Jill Levesque and Trudy Ramsey will come up here and each will tell you why they feel they deserve the position and then we will vote. Speeches were made and voting took place. The meeting came to order at 6:04pm
Kathy Kruger: There is a message posted on the Band website by Ms. Beach with dates that we need parents to work the grill for the rest of the year. Please look at the dates to see if you can help. We usually see the same faces helping at the grill and we really appreciate all of you. We would appreciate more parent participation. Meetings will be held at 6:30pm going forward so that more parents can make the meetings. The Iris Alert will be changed. We also still need paper towel inserts so please send them in with your student.
Pam Gafford: We are trying to finalize the Golf Tournament. Missy Flynn will be the Chairperson for the event. We have a very small window of time to schedule the event and we are finding it difficult to find a course since we are very limited with dates. This is an individual student account fundraiser and we would like to do it before the Disney Trip. There will be several ways that students can earn money…by signing up golfers, hole sponsors, tee sponsors, etc. We will be holding our candle sale fundraiser around Mother’s Day. The fundraiser for the Strawberry Festival T-shirts ends Friday, February 12th, but we might be able to extend it. We are looking to have the Yard Sale during the summer so that incoming Freshman parents can participate and earn money towards Arizona.
Amal Colon: Still needs help in the grill. There are dates on the band website. We need extra help on February 20th since there is a big event that day. Marti will be in charge of the event that day she Amal has a family function.
Tracy Dilport: We have $32,693 in the band bank account. $31,000 of that will go into the student accounts. Money from Ray Jay will be posted to the account so that it will be available for the Disney trip in April. Individuals who worked Ray Jay will receive $75.94 per event worked. We earned about $13,440 less this year at Ray Jay than we did last year.
If you account is not current you will not be able to purchase tickets to the band banquet. You also will not be able to walk in graduation. We do about $120,000 through the band account and if you don’t pay for your child, we end up having to “borrow from Peter to pay Paul”.
Dan DuBay: We have the lowest costing band in the district. We keep the cost down through your participation at the Grill, Ray Jay, fundraising, etc. Let your kids help out if you can’t do it. The Banquet is not a fundraiser. We make NO money on the Banquet. In fact last year, we lost money. We try very hard to break even and not lose money with this event. Thanks to all the parents who came tonight. It seems like the same parents are here week in and week out.
Band Pictures for the wall will be held on Wednesday, February 17th. There is no makeup date so please make sure your student shows up. There is an early release that day. Order forms will be sent home so you can order pictures. Don’t have to order until proofs come back.
February 19th and 20th is Solo Ensemble for those participating. If your child does well the first day, they do not need to play again the second day.
March 8th is the Strawberry Festival Parade. We will have buses to transport us to this event. Meet at school at 11:00am and students will return to school at 3:00pm.
The Disney trip has been very difficult to plan because we are so limited on available dates. It will be April 22nd – April 24th. We will leave after school on the 22nd. Cost is $170 for students and $120 for chaperones. We will stay at the Best Western because Disney hotels were very expensive. Boys will be on one floor and girls will be on another. Again, forms will come home with students on how much they will owe after money from student account is deducted. The first payment will be $60 if there is not enough money in the student account. Final payment will be April 1st. You cannot use Disney passes for this event. If you would like to be a chaperone, please mark it on the sheet. You need to be an approved chaperone and be fingerprinted before you can chaperone overnight. Selection order for chaperones will be: Booster Board, Committee Chairs, Senior Parents, Junior Parents, Sophomore Parents, then Freshman Parents. Not sure how many volunteers we will need. It depends on how many seats are available on the bus. If you want to go to Disney and are not chaperoning, Dan will provide information, but you must make your own arrangements. We have no choice on the Theme Park. We have to go where the awards ceremony is. Therefore, the theme park will be Hollywood Studios.

The meeting came to order at 6:17pm
Kathy Kruger: The Christmas parade was rescheduled for Friday, December 11th. We will serve punch and cookies at the Holiday Concert on Thursday, December 17th. The concert is at 7pm.
If anyone has any band pictures, please turn them into Don Fahie as soon as possible so he can work on the video.
Tracy Dilport: We have approximately $24,000 in the band bank account. I still need to take money out to pay for the poinsettias and some purchases from Sam’s Club. Money earned from working at Raymond James Stadium will go into the student’s account in March/April.
Pam Gafford: Students earned a total of $1,434.50 towards poinsettia sales and the money will be distributed into their individual accounts. We will be doing a lot more fundraising throughout 2010. The golf tournament will be in the Spring but there has not been a date set yet. We still need a committee head to chair this event. The tournament has been held at Bloomingdale in the past, but it does not need to be held there. Please let Pam know if you would like to chair the event.
Amal Colon: Thank you to everyone who helped out in concession. There are many games that we still need help with. It is usually the same people working all the time and we would appreciate it if more parents would help out.

Band Booster Meeting – November 10, 2009
Present to the meeting were the Booster Board and ____ other members.
The meeting was called to order at 6:05pm by Kathy Kruger.
Kathy Kruger said that the State Competition is on November 21, 2009. Chaperones will be picked and first consideration will go to those parents who worked at the grill and helped with water, etc. Preliminaries will be at Jefferson High School. We will be performing at 4:24pm but students must report to school at 9:45am. The top 5 teams will advance to the finals which will be held at Tropicana Field that evening. Full details are available on the band website.
No one working the grill will earn money this year. Last year, parents earned money in order to encourage more parents to work and unfortunately that approach did not generate new help. Money will be put towards the trip to Arizona. Remember…”It’s all about the kids.”
Pam Gafford spoke about the Poinsettia fundraiser. It will begin tomorrow and all money/orders need to be turned in no later than Monday, November 30th to Mr. Dubay. They will gladly take orders early and remember that we will be on vacation from November 23-27, 2009. This is an individual account fundraiser. 50% of the profit will go into the student’s account. Flyers and order forms will be given to the students. Money needs to be collected at the time of order. Poinsettias will be delivered December 8th and can be picked up at the Band Booster Meeting. A message will be posted on the message board for those that are willing to help on December 8th sorting the orders.
Mr. Dubay said that there will not be a game on Friday, November 20th but there will be practice from 3:30-6:30 with a parent performance that evening at 6:30pm. The performance should last about 30 minutes. He also said that FBA is not a competition but an evaluation. It is mandatory for every band and there are five ratings for the bands. He told us that there are 16 bands in our division for States. All costs are listed on the website. It is not a cheap day so start saving now. He also asked that we do not speak badly about any of the other bands while we are at competition. You never know who is sitting around you and it is a reflection of the whole band if people speak badly about other schools.
Mr. Dubay has been asked to direct the all county wind orchestra. The kids have audition material for concert band so please ask your child about it as their tape is due Tuesday, December 1, 2009. Any child that has already made All County will not have to make a tape.
Tracy Dilport gave a financial report and said that we have $33,562.79 in the bank account. Raymond James has not been as profitable this year as it has in the past. Parents should only expect to receive approximately $65-70 per credit.
The motion was taken to adjourn the meeting and it was seconded. The meeting was adjourned at 6:34pm.
Band Booster Meeting Minutes – October 13, 2009
Present to the meeting were the members of the Band Booster Board and 40 other members.
Kathy Kruger (President) opened the meeting at 6:00pm. Kathy said that WCI was an astounding success. The Mooneys as well as all others in charge did an amazing job organizing the event and thanked everyone that helped at the event as well.
Kathy then let the group aware that April Mew needs to step down from her board position running the Cougar Grill and that the position was now available for anyone that would like to take on the responsibility. She said, “April Mew has done an incredible job of running the grill, but…with the demands from her job, getting the girls ready for competitions and getting ready for winter guard, even Wonder Woman couldn’t keep up with it all. So after much thought she has decided to step down from the grill and be just color guard mom, which is an undertaking all by itself. She will always be there for us and willing to chip in wherever, because that’s who she is, so we now need nominations from the floor to be voted on because it is a board position.” Nominations were put in front of the members and Amal Colon was nominated for the position. Amal accepted the position; the nomination was seconded and approved by all members present.
Because Amal was nominated for Co-Vice President of Cougar Grill, her position as Recording Secretary was now available. Diana Vincent was nominated for the position and accepted the nomination. The nomination was seconded and approved by all members present.
Tracy Dilport (Treasurer) gave a financial report for WCI. She has paid half of the expenses and will pay the other half that are still due. She said that we made twice as much money as we did last year. Expenses for WCI were $13,085.97 and income was $27,729.50 leaving a net profit of $14,643.53.
Pam Gafford (Vice President-Fundraising) said that we are working on individual fundraising for the trip to Arizona next year. We are looking into selling poinsettias which should give us a large profit as there are no outgoing expenses for the fundraiser. A decision will be made by the end of the month. Pam also said that we ran out of programs for WCI and is checking to see if we can order more. If you would like a copy, please let her know. A garage sale and the golf tournament will happen after the first of the New Year and information on those events will be told at a later date.
Don Fahie (RJS Concessions Co-Chair) spoke about the USF game at Ray Jay this Thursday. The group that was supposed to take the concession was not able to staff it, therefore it is our responsibility to staff it or lose money. It is a 5:00pm game and we need 10 people in concession by 5:00pm but others may also volunteer up to 7pm. He expects this event to be more profitable than the Bucs games as USF is in first place.
Rhonda Miller (Corresponding Secretary) said that we have 60 memberships and therefore the show shirts are now available for sale for anyone that would like to buy one. They are $20 and she has many sizes in stock.

Meeting called to order at 6:37pm.
We will be voting in our 2009-2010 Booster Board tonight. Due to the overwhelming attendance, we ran out of printed ballots, so the rest will be write-in ballots.
We will begin selling banquet tickets tonight. Tables are in available either 8 or 10 top and tickets are $35 a piece. Also, your band accounts must in good standing in order to charge the tickets to your account. Only seniors and family allowed at the senior tables. Remember, if you are an underclassmen and would like to sit with someone at the same table, all ticket $$ has to be turned in together. The sooner you get your $$ in, the better seating you will receive. It is a first come/first serve basis.
Tracy Dilport gave Treasurer’s Report:
The golf tournament had approximately $2000 in profit. Kathy Kruger has applied to Walmart for a matching donation grant in the amount of $1000.
Pam Gafford gave fundraising report:
The band will be selling the tie-dye shirts at Freshman Orientation that is scheduled for June 2, 2009 at 7pm. We are only going to be selling the navy blue ones.
There will not be a candle sell.
Carolyn Sharkas gave report:
Carolyn is making the table scrapbook centerpieces for the banquet. If you wish to purchase one, they will be sold for $10 and we only have 40 to sell. Seniors and parents will have first choice and the remainder will be opened to underclassmen. The $10 cannot be charged to your account. Checks or cash need to be placed in the red box and noted for the scrapbooks. .
Sharon Wallace gave report on Cougar Grill:
There are a couple more events at the grill. Colorguard will takeover the events during the band concert. We will also be hosting Districts for Flag Football.
Dan Dubay gave report:
Thank to Mr. & Mrs. Thibeault for heading up the Golf Tournament.
Itinerary for TN trip has been posted and there are lots of rules to be addressed and followed by the kids. Thank you to the parents for entrusting our children with him. The kids NEED to bring approx $75-100 just to cover the cost of food not in the trip cost. DO NOT send your child with No $$ and expect someone else to pay for their food.
He has been very explicit to band and especially the 9th graders about concert uniforms and appropriate undergarment attire. Please have your children packed by Wednesday and double check them. Bring toiletries as well. Only allowed one carry on bag and one underneath piece of luggage or tote bag.
Would recommend you not leave any cars at the school during the trip. If you must, than try to leave them in the teachers lot but you leave them at your OWN RISK.
Please remind the students they are representing our band and your family. They are not to complain. Only G & PG movies allowed for viewing on the bus. NO PG13’s. Parents will be monitoring the halls at night and doors are taped. Safety is a priority.
Students need to be at school by 7:30am and come straight to the band room. The busses will need to leave by 8am. It is approx 14hr drive and we should arrive in TN around
9-10pm. Friday will be All-day competition, Saturday – Dollywood, and leave Sunday morning early and arrive back at school sometime around 8pm. Students are expected to be at school on Monday. They do not have school business. Call Betty and she will update the band voicemail.
The Jazz band made straight superiors at State. Thanks for the parents that helped get the
kids to UF for the jazz band trip and than back down to Ocala for the state evaluation.
Tuesday is the Band concert and on Thursday the Wind Ensemble travels to North Port HS for State Evaluation. We perform at 3pm.

proceeds to the Relay for Life, but the board chose to donate $200 to this
cause and allow the Relay for Life committee to set up their own concession
stand.
If you would like to be placed on the nomination ballot or interested in a certain position on the 2009-2010 Booster Board, please email Betty Nelson of your intent. This has been posted on the message board as well. We will be voting on next year’s board at the April booster meeting.
Tracy Dilport gave Treasurer’s Report:
The band $$ is good right now. Everybody is paying past due amounts. The Yard Sale, Ray Jay and Brochure sale monies have been applied to the student accounts. The Café $$ will be finalized soon. The Grill has not been closed out. We need to finish paying the money due for the TN trip.
Pam Gafford gave fundraising report:
The band yard sale generated approx $100 per student that participated. Shortcake fundraiser at the last was a success. On March 16th, we will be selling strawberry shortcake at the Flag Football game. At the April 21st concert, we will be selling popcorn and slushies. No dinner will be served.

Both bands made superiors at evaluation. He also thanked all the parents and supporters that came to the Concert Evaluations. Mr. Basham from Newsome HS was very complimentary on the amount of parents we had in the audience and for the standing ovation and support that our band parents gave to his Newsome students.
State Concert Evaluations will be on April 23rd

There is currently $13,794.26 in checking account. Have $$ from grille, red box that needs to be deposited. Downpayment checks have been issued for done for the TN trip,
Solo & Ensemble was $5 per student. Monster Truck Jam is
Ray Jay looks like it may be $50-60 per student credit. No final figures on Super Bowl. There were more people working this year at Ray Jay.

We are possibly doing Strawberry Shortcake at the March concert. Also considering Outback or another restaurant for the last concert.
Yard Sale is
The Pizza Cookie Dough sale was a success. Generated approximately $3400 profit. Had a couple of kids that sold over $500 in items. Watch the message board for pick up date. It has to go home that day due to refrigeration.
March 21st is the Golf Tournament. Brochures will be sent home by Mr. Dubay with students. Band and Colorguard are to get involved in getting players, tee sponsors, hole sponsors or gift cards/etc for drawings at end of tournament. All are REQUIRED to bring in one thing as part of grade. We will be needing help at check in.

Solo and Ensemble will be next weekend at Riverview HS. Your student should be practicing with pianist now.
District Concert Evaluations will be held at King HS on
Tapes are still being turned in for grades. Most are doing well. These tapes are due once a week.
Jazz Band received Straight Superiors at evaluation. They will be going on TN trip as well.

The spaghetti dinner had a profit of approx $500-600. All concert fees and winter guard fees have been billed. Letters have been mailed to all parents of band students with balances due to the band. Should be arriving at homes in a couple of days.
Ray Jay $ will be applied to all applicable accounts in the middle of March. Credits will be approx $60-66. This is lower than it has been previously. All $ goes into the accounts. If a parent wishes, $ can be applied to the general fund band account rather than individual accounts.

game. One more event that any parent can sign up for is the Monster Truck

1. Sausage/Cheese Fundraiser. Mr. Dubay chose this one because it had a good profit margin.
2. February – Yard Sale. Date TBA.
3. March – DHS Band Golf Tournament. Date TBA.
4. April – Home Interiors candle sale. Another parent at the meeting suggested looking into the Yankee Candles instead of the Home Interiors as a fundraiser. Pam will be looking into this.
April Mew suggested checking into the Domino’s Pizza Cards that TCMS is currently selling. She was to look in to this for Pam. Cannot do a candy sell because of the rules against selling candy at school.
Betty gave report for Sharon Wallace on Cougar Grill:
She will be selling all the unused cases of soda and water left over from WCI. Sodas will be $3 per case. She will start selling the water at $2 per case after the Strawberry Festival parade in March.
No report from Carolyn:
However, Betty advised a replacement is needed for Carolyn’s position as VP of Cougar Grill. She is a Senior parent and will not be returning next year.
Mr. Dubay gave report on upcoming events:
MLK Parade will be
Pep Rally to be held on Friday the 16th. Wear blue show shirts. Colorguard will be participated in the Pep Rally and were informed today during class what to wear.
Winter Guard competition dates will begin to be posted soon on the website.
After school rehearsals began today. Tuesdays the top band will meet and on Thursday’s the second band will have rehearsals.
Solo and Ensemble forms went home today. Forms must be signed by parents only. January 21st is the due date. S&E will be held at Riverview HS the weekend of February 20-21st. Students should already have music and piano player. Name of piece is due by Wednesday. If you need a pianist, please contact Mr. Dubay asap. Usual cost of pianist is $10 per grade level of music and includes two rehearsals plus performance. Recommends doing solos over ensembles.
All-County Band Rehearsals begin

The Gatlinburg TN trip dates are set for April 16-19, 2009. This is for the concert bands, jazz band only. No guard on this trip. The band will leave on Thursday and drive all day. Concert and Jazz Band competitions will be held on Friday.
Saturday will be spent at “Dollywood” and Sunday will be the drive home arriving
sometime between
Cost is APPROXIMATELY $375 per person. This is NOT a FINAL amount. Could be as much as $400. The final price will include bus transportation, hotel for 3 nights, some food cost, competition fees and Dollywood.
Students will have a contract for parents to sign. Only able to accommodate Mr. Dubay and 9 additional chaperones. Cost for the chaperones will be the same amount as the student cost. In order to chaperone, you had to participate in two events during the marching season. Also, since this is an overnight trip, all chaperones will have to be fingerprinted. Senior parents have priority as chaperones.
There will be 4 payment installments for the trip. The contract form will have the payment dates listed. All fundraisers will help offset the cost of payments due. If there are a large number of students unable to go on this trip, then it will be cancelled.
Pre Band Camp dates for Summer 2009 will be posted around the end of January. Also, Band Camp is usually held two weeks prior to school starting. Just keep your eyes on the website and calendar for the summer dates to be posted.

Tracy Dilport gave Treasurer’s Report:
The band account has approximately $7000.00. We made approximately $2900 at Friday night’s game but we have approximately $2000 going out in bills that need to be paid. The buses for the Mariner competition and State Championships have been paid and the cost to transport the band and equipment to these events was approximately $10,000.
We need to raise funds for the band. An idea was given to
Pam Gafford gave fundraising report:
1. From the first tie dye t-shirt order, we have approx 10-15 shirts left. The shirts have been promoted on D-NEWS.
2. No greenery fundraiser this year. The band lost $$ last year on this fundraiser, because we had to buy by the case and not per item.
3. A possible candy sale was suggested.
4. Spaghetti Dinner Fundraiser will be held prior to the Winter Concert on December 11. Charge will be $5 per meal. All band students will need to bring in donated items of sauce, noodles and baked goods. More information will be posted on the website. Also, we would like to hold a basket raffle prior to the concert. The baskets will be themed and each class will be assigned a theme and should bring in items related to that theme.
5. Suggestion was also made that for the Heartwalk on December 13 that the guard sell the extra water bottles donated to WCI for $1. All monies made would go to the general band fund.
Betty reminded everyone that Friday night will be Senior Night in the stands prior to the game. We have 40 seniors in the band. Flowers, pictures will be given to each senior as Mr. Dubay calls them down in front of the band. Also, will need all underclassmen parents to work this night for the senior parents.
State Championships is coming up and Senior parents have priority for chaperoning. Tickets are $12 for prelims and $20 for finals.
Colorguard will help with serving the food for the dinner so the band parents will not have to be involved.
Also, reminder to all parents and students that the kids need to bring $1 to help with Bus Driver tips.

Kathy Kruger announced that the new Serve form is good for three years.

April Moody – color guard costumes arrived at school today.
DuBay – Thank you to everyone who worked the concession stand on Friday night. He encouraged everyone to volunteer.
Kids are awesome and are working hard. He is very pleased. The show is not finished; hard to visualize show because it is not finished. The Taiko drums will be added to Friday night’s show; also the new flags and color guard uniforms. 3 of the 4 songs are complete. The closer song will be learned next week.
All state try-outs at
Reheasathon – hoping for a Tae Kwan Do instructor for Rehearsathon. Working on getting a Japanese Taiko drummer from Epcot to teach drum line the choreography.
Encourage everyone to work WCI – even alumni parents come to work. This is the biggest fundraiser for the band.
